  4. Provide necessary information regarding visa/passport/entry requirements
  5. Email all reservations and changes to the travel manager or administrator

Ground Transportation

  1. Confirm vehicle rental and/or black car service as requested
  2. Confirm that car vendor has returned reservation numbers
  3. Confirm car size preferences
  4. Confirm that loyalty numbers have been applied to reservation
  5. Confirm all rail reservations
  6. Book/confirm black car services, including pick-up/drop-off times and any special requests

Hotel Reservations

  1. Confirm hotel reservations and special requests with the hotel directly
  2. Complimentary upgrades always offered when available during executive travel
  3. Add all hotel preferences in the special request field of each hotel segment
  4. If any preferences are not available at time of booking, a notation will be documented directly under the applicable hotel segment on the itinerary and the travel arranger will be notified immediately
  5. Hotel segments will always include preferred hotel frequent stay numbers
